Club Cruise Registration Process

Additional Information

The following details the process used for members to register to attend a Club Cruise.


Cruise scheduling:

  1. The Committee sets the cruise destination and dates for each monthly cruise for a 6 to 12 month period.
  2. The cruise destination and dates are placed on the club website under “Cruise Calendar” - https://whittleyclubvic.com.au/cruise-calendar
  3. The Committee nominates a Cruise Leader.


Cruise Registration Process:

  1. The Cruise leader writes a cruise invitation using the standard invitation format and sends it to the Cruise Registration officer.
  2. The Club Cruise Registration officer issues the Cruise Invitation to all members via email.
  3. Members who wish to attend the cruise must reply email to the Cruise Registration Officer, detailing the members names, boat name and cruise destination before the nominated reply date - cruise@whittleyclubvic.com.au
  4. Members can register at any time for any cruise that is listed on the cruise calendar on the Club Website. You do not have to wait for an official invitation to be sent to your email address. To register for any cruise, email the members names, boat name and cruise destination to the Cruise Registration Officer -  cruise@whittleyclubvic.com.au
  5. Members who register for a cruise will receive an automated reply to indicate that your registration has been received.
  6. The Cruise Registration Officer keeps a record of the members who have registered and the date they registered.
  7. The Cruise Registration Officer sends details on all member registered to the nominated Cruise Leader.
  8. The Cruise Leader issues a Cruise information pack email to all members who registered to attend the cruise by email. This provides information on what is recommended to bring, a cruise plan, any costs, launch & retrieval ramps, vehicle & trailer parking, estimate of the fuel and meals required, the details of required safety equipment and details of legal requirements of attending this cruise.
  9. The Cruise leader will also provide, a list of all other members attending this cruise.
  10. Any issues and questions can be directed to the cruise leader via email or phone.
  11. Any changes to the cruise plan, the cruise leader will notify all members registered to attend the cruise by email.
